Frequently asked questions about purchase orders

What if I order using a supplier portal over the phone?

If you place orders outside Lightspeed, you can still use Lightspeed Retail to receive the stock when it arrives. Simply go to Inventory > Stock control > Receive stock, add the products and quantities, review the costs and complete the delivery. The supplier and products must exist in Lightspeed, and inventory tracking must be enabled. Receiving stock in Lightspeed updates your inventory levels and costs while keeping your stock records accurate. For more information, you can read Receiving stock without a purchase order.

Why should I use Lightspeed to order and receive stock instead of just updating inventory in the product catalogue?

Editing an inventory level changes the number in Lightspeed but nothing else—so cost price, weighted average cost, COGS and stock value stay as they were. Receiving a delivery via Lightspeed updates all of it in one action, which is what keeps your margin and stock valuation reporting accurate.

How do I create and send a purchase order?

Go to Inventory > Stock control > Order stock. Select the supplier, delivery locations and receiving outlet, then add your products. Once done, it can be emailed directly to the supplier from Lightspeed. For more information, see Creating and sending a purchase order.

Do I have to enter orders in Lightspeed to receive stock?

No, you can log a delivery against a supplier without an order existing first. However, please note that products need inventory tracking enabled (this is on by default) and the supplier needs to exist in Lightspeed. The benefit of using Lightspeed's retail purchase order software is better visibility into what’s been ordered and what's on the way. For more information, see Receiving purchase orders.

Can I sync NuORDER POs with my POS?

Yes, you can do this for improved purchase order management. PO Sync between NuORDER and Lightspeed POS creates a seamless two-way purchasing workflow. Whether you initiate orders in NuORDER or in POS, all critical data, including suppliers, products, pricing and quantities, sync automatically. The result is less manual work, fewer errors, faster receiving and consistent data across systems. For more information, see Purchase Orders sync rules between NuORDER and Retail POS (X-Series).

How do I generate a PO using the Lightspeed Scanner app?

You can use the Lightspeed Scanner app as part of your purchase order system by scanning a paper document or when receiving stock. Within Lightspeed Scanner, AI Doc Import uses optical character recognition (OCR) technology to read invoices and packing slips and convert them into draft purchase orders. For more information, see Generating purchase orders with Lightspeed Scanner (X-Series).
